Within the Scope of the Processing of Personal Data Protection Law
As ZÜMRA YARDIM DERNEĞİ (“Association”), in the course of our activities, we attach great importance to the processing, preservation, storage, use, transfer, classification, updating, and deletion of private and general personal data belonging to our visitors across all platforms, in compliance with Law No. 6698 on the Protection of Personal Data, secondary regulations enacted or to be enacted under the Law (regulations, communiqués, circulars), and binding decisions of the Personal Data Protection Board. With this awareness, as the “Data Controller” defined under the Law, we process your personal data as explained below and within the limits mandated by legislation. Data subjects may access detailed information on the processing, transfer to third parties, legal grounds for collection, and rights under the Law through this disclosure text.

1. INFORMATION ON THE DATA CONTROLLER

In accordance with the Law, ZÜMRA YARDIM DERNEĞİ, registered in Istanbul under registry number 34-260-149, located at “Yamanevler Mah. Küçüksu Cad. Aydede Sok. No:2-4/3 Ümraniye / Istanbul,” is the “Data Controller”.

2. PURPOSES OF PROCESSING PERSONAL DATA

The Association, providing humanitarian aid services in accordance with its charter and legal obligations, requires the processing of personal data both while directly fulfilling its legal obligations and in circumstances where these obligations and the services provided indirectly require it. Your personal data may be processed by the Association or authorized persons/entities under the following laws and regulations:

  • To provide, when necessary, the information required by relevant public institutions and organizations, judicial or administrative authorities, and law enforcement agencies

  • Implementation of social projects in the fields of food, clothing, education, health, and shelter in many parts of Turkey and the world
  • Proper operation of guesthouses, soup kitchens, clothing stores, and vocational training programs established to assist those in need domestically and abroad
  • Delivery of in-kind and monetary donations from our donors and volunteer citizens to us through the procedures determined by our website and our association
  • Ensuring that in-kind and monetary donations from our donors and volunteers are delivered to those in need as quickly and cost-effectively as possible
  • Announcing the activities and aid campaigns carried out by our association through SMS, e-newsletters, and other communication channels
  • Planning and execution of service operations and various logistical activities
  • Verifying that the information provided to us is accurate and up to date
  • Carrying out our activities in accordance with international standards and leading the development of a spirit of solidarity
  • Ensuring the security of our employees, guests, and association buildings through camera recordings and other security measures, as well as controlling entries and exits
  • Preparing documents required under relevant laws and administrative regulations
  • Full performance of contracts to which our association is a party and monitoring that counterparties fulfill their obligations under these contracts
  • Ensuring the legal security of natural and legal persons who have business relations with our association
  • Including in our team those who wish to participate in our activities as association members/volunteers
  • Preparing official documents that our association is required to keep under legislation and properly managing the processes related to these transactions
  • Ensuring the efficient and effective use of tools and equipment delivered to our employees
  • Evaluating recruitment processes of job applicants, creating personnel files for employees whose applications are accepted, and maintaining our association’s human resources policies
  • Increasing the morale, motivation, performance levels, satisfaction, and interactions of our employees with each other and with our association, and ensuring their commitment to our association
  • Recording communications through our call centers or association telephones via audio and video when contact is made
  • Fulfilling obligations arising from employment contracts
  • Operating the disciplinary process in the event of incidents occurring within our association
  • Meeting the requests of the judiciary, the Ministry of Interior, municipalities, and other relevant public institutions and organizations
  • Processing personal data within the limits specified by law, in accordance with legal requirements, principles of honesty, and always in connection with, limited to, and proportionate to these purposes, including the creation of statistical data when our website is visited
Once the purpose of processing your personal data has ended, they will be destroyed following the completion of the legal retention periods.

3. TRANSFER OF PERSONAL DATA

Personal data, within the purposes listed above and to ensure the continuity of our activities, may be transferred in compliance with the conditions set out in Articles 8 and 9 of the Law to real and legal persons permitted by legislation, donors and volunteers, public institutions and organizations when necessary, judicial and administrative authorities, law enforcement, institutions and organizations with which we have business relations, authorities related to humanitarian aid activities and the relevant ministry, humanitarian aid associations pursuing the same purpose with which joint activities are carried out, and consultancy, supplier, technology, legal, and training companies from which services are obtained.

4. METHODS AND LEGAL GROUNDS FOR COLLECTING PERSONAL DATA

Personal data may be collected verbally, in writing, or electronically by authorized persons via e-mail, phone, website, contracts, forms, and records, through both automated and non-automated means.

Volunteer

Name-Surname, ID/driver’s license/passport details, gender, nationality, place of birth, date of birth, phone number, e-mail address, residential address, blood type, bank account details, marital status, military service information, education information, log records, passport-style photo, criminal record, emergency contact details, health information, certificates, work experience.

Beneficiary

Name-Surname, ID/passport details, gender, nationality, mother’s and father’s name, year of birth, place of birth, marital status, education information, signature, criminal record, phone number, e-mail address, passport-style photo, residential address, blood type, bank account details, emergency contact information, family registry details regarding you and dependents, family status information, health information, official documents required by judicial or administrative authorities.

Supplier Institution Representative

Representative Name-Surname, phone number, e-mail address, residential address, tax number, signature, bank details.

Visitor

Name-Surname, T.C. identification number, phone number, e-mail address, residential address, entry-exit information, security records. Personal data of these types, whether private or general, are processed under Article 5(2)(a-c-ç-e-f) and Article 6(3) of the Law, based on the legitimate interests of ZÜMRA YARDIM DERNEĞİ, provided that your fundamental rights and freedoms are not harmed.

5. RIGHTS OF DATA SUBJECTS UNDER THE LAW

You may apply to ZÜMRA YARDIM DERNEĞİ at any time to:
  • Learn whether your personal data is being processed, the purpose of processing, and whether it is used in accordance with the purpose.
  • Learn the third parties to whom your data is transferred domestically and abroad.
  • Request correction if you believe your data has been processed incompletely or inaccurately.
  • Request deletion or destruction of your data under the conditions set forth in Article 7 of the Law.
  • Request that third parties to whom your data has been transferred be notified of your requests under items (c) and (d) and that they perform the same actions.
  • Object to any outcome that arises against you as a result of analysis by automated systems, or, if you believe your data has been recorded or used unlawfully and you have suffered damage, request compensation.
If your application entails an additional cost, you may be required to pay the fee determined by the Communiqué on the Procedures and Principles of Application to the Data Controller issued by the Personal Data Protection Board. If a written response is provided to your application, no fee will be charged for the first 10 (ten) pages; a transaction fee of 1 TL will be charged for each page exceeding 10 (ten) pages. If the response to your application is provided on a recording medium such as CD or flash memory, the cost of the recording medium will be reflected to you. Your requests stated in your application will be concluded as soon as possible and at the latest within 30 (thirty) days, depending on the nature of the request. To benefit from your rights under the Law, you may submit your applications in Turkish in writing to ZÜMRA YARDIM DERNEĞİ, and for detailed information, you may visit the website of the Processing of Personal Data Protection Authority.

You may execute the application by means of one of these methods. In the application you will make to exercise your rights as a personal data owner, the request must be clear and understandable, the request must relate to you personally or, if you are acting on behalf of someone else, you must submit a special power of attorney certified by a notary. It is mandatory under the Communiqué on the Procedures and Principles of Application to the Data Controller that your applications include Name-Surname, signature, T.C. identification number, residence or workplace address, e-mail address, telephone and fax number, and the elements of the subject of the request. Applications that do not contain these elements will be rejected by ZÜMRA YARDIM DERNEĞİ. ZÜMRA YARDIM DERNEĞİ reserves the right to make changes to this disclosure text at any time due to reasons arising from the Law, secondary regulations, and Board decisions. Changes to the disclosure text and the updated text will take effect immediately as of the date they are notified to you.
